First pass overnight. That’s evocative language. It sounds like the AI is sitting there at 2am, evaluating your applicants while you sleep.
What’s actually happening
Here’s what these tools are documented to do:
- Completeness checks. AI scans submissions for missing fields, answers that are suspiciously short, or formatting that’s going to confuse your judges. Messy entries get flagged before they reach anyone’s queue. That’s it. No scoring.
- Optional summaries. Some platforms generate AI summaries of entries and surface them to judges as labeled support material. Judges can read them, ignore them, edit them, or override them entirely. The scoring still comes from the human.
- Rubric reading ≠ rubric scoring. Sopact’s “first pass” reads applications against a rubric. But it doesn’t produce scores. The close calls — the ones that actually define your program’s outcomes — still go to human reviewers.

- Side-by-side review. Good platforms let you see extracted data next to the original document with citations. You can check the AI’s work against the source.
- But — and this matters — Instrumentl explicitly instructs users to “review the automatically extracted information and make any necessary adjustments.” It’s extract, review, adjust. Not extract and done.
Research administration communities have highlighted similar use cases — AI generating plain-language summaries of award terms, flagging key compliance requirements, even helping compute burn rates. All useful. All still tethered to human oversight.

This is also, frankly, where the documentation gets thinnest.
- Category matching. The concept of AI reading an applicant’s background and suggesting which award category fits best? Plausible. Interesting, even. But concrete demos, accuracy data, and implementation details are mostly absent from vendor materials right now.
- AI content detection. Tools that flag potentially AI-generated submissions are emerging and they’re addressing a real problem — especially for essay-based award programs. This one’s legitimate.
- Administrative relief. There’s genuine evidence that AI reduces grunt work — fewer manual emails, faster document processing, less time chasing formatting compliance. That’s real value.
But “end-to-end intelligent automation”? That’s mostly aspirational at this stage.

These broader workflow claims are the most likely to be overstated and the least backed by anything you can actually verify before you sign a contract. If a vendor is leading with transformation language but can’t show you specifics, that’s worth probing.

A well-built platform should make your program faster to administer, easier to scale, and more consistent in how it processes submissions — without ever muddying the question of who is actually responsible for the decisions that matter.
That means labeled outputs. Human override at every stage. A clear audit trail. And a vendor that talks to you honestly about what their technology can and can’t do — without needing a glossy brochure to do it.
