How to Compare Award Management Software: The Buyer’s Guide

The Paradox of Choice

If you search for “Award Management Software” on Capterra or G2, you will find over 200 results.

Some are massive “All-in-One” event platforms. Others are simple form builders. However, finding a tool that specifically handles the nuance of nomination, judging, and public showcasing is difficult.

Choosing the wrong platform is expensive. In fact, migrating data out of a bad system midway through a cycle is a nightmare you want to avoid.

So, how do you separate the contenders from the pretenders?

Whether you are running a corporate employee recognition program or an industry-wide gala, here are the four non-negotiable factors you must compare before signing a contract.

1. The Pricing Model: “Per-Entry” vs. Flat Fee

This is the biggest hidden trap in the industry.

Many legacy platforms charge a “Per-Submission” fee. They might offer a low base price, but they take a cut (e.g., $5 or 3%) of every nomination fee you collect. Or, they charge you extra if you exceed 500 applicants.

The Risk: You are effectively punished for being successful. If your marketing team does a great job and doubles your nominations, your software bill doubles too.

The Solution: Look for Predictable Tiered Pricing. You should know exactly what your annual bill will be on Day 1. Therefore, choose a platform that offers unlimited submissions or generous caps that align with your growth goals.

2. The “Judge Experience” (UX)

In an awards program, your VIPs are your judges. They are often industry celebrities or busy executives volunteering their time.

If you force them to use a clunky, slow, or confusing interface, they will not return next year. Furthermore, a frustrating experience leads to “rush jobs,” where judges skim entries just to get it over with.

The Comparison Test: During your demo, ask to see the Judge’s Portal, not just the Admin Dashboard.

  • Is it mobile-friendly? (Can they judge on an iPad?)
  • Does it support “Side-by-Side” viewing of the entry and the scoring rubric?
  • Is there a “Save Draft” feature?

3. Public Showcasing (The “Glory” Factor)

This is where Award Management differs from Grant Management.

Grants are private; Awards are public. The entire goal of an awards program is marketing—celebrating the winners and generating buzz.

Most generic form tools stop once the winner is picked. Conversely, a dedicated Award Platform acts as a marketing engine.

The Comparison Test: Does the software automatically generate a ?

  • Can you publish a searchable, SEO-friendly public page of nominees?
  • Does it handle high-resolution images and video embeds for the portfolio?
  • Can you customize the branding to match your gala website?

4. The Support Model: Bot or Human?

Awards cycles are high-pressure. You have a hard deadline for the ceremony. If the system crashes 24 hours before the Gala, you cannot wait 3 days for an email ticket response.

The Comparison Test: Check the Service Level Agreement (SLA).

  • Do they offer Live Chat support?
  • Is there a dedicated Customer Success Manager for your tier?
  • Check their specifically for keywords like “Support,” “Help,” and “Response Time.”

Don’t Just Buy Software; Buy a Partner

Your software should elevate your brand, not drag it down with technical glitches and ugly forms.
